            SUBJECT:      Board Meetings Holiday Schedule

RECOMMENDATIONS

 

·        In order to avoid Board meeting conflicts with the Thanksgiving and New Year holidays, consider revising the Board’s regular meeting schedule to combine the November and December Board meetings into a single meeting on Friday, December 9 or 16; or

 

·        Reschedule the regular Board meetings in November and December to: November 18 or earlier in that week; and, December 16 or earlier in that week, in order to avoid conflicts with Thanksgiving, Christmas and New Year holidays.

 

SUMMARY OF ISSUES

 

The Board’s regular monthly meetings are held on the last Friday of each month.  Unless the schedule is revised, the November meeting will be held on November 25, the day after Thanksgiving and the December meeting will be held on December 30, the day before New Year’s Eve.  District staff has observed that business productivity is reduced during these two months, particularly in the weeks before and after each of the holidays. Production declines because staff members take time off for holiday travel and/or have to attend to personal affairs relating to the holidays.  Productivity is also impacted because other agencies, businesses and individuals with whom the District must collaborate are less available and responsive during this period of time.

 

Taking the above factors into consideration, the Board has for the past two years cancelled its regular meetings in November and December and held a combined meeting on the first or second Friday of December.  District staff believes the second Friday in December would be a preferable alternative combined meeting date, although one week earlier will also be feasible.
